Personal Data Protection Policy
Purpose
This Personal Data Protection Policy (“Policy”) sets out the ways in which the Henry Park Primary School Alumni Association (the “Association”) collects, uses, discloses and retains Personal Information.
When you become a member of the Association, you agree to the terms of the Policy as updated from time to time. The Association will update the Policy to ensure that it is consistent with any changes in legal requirements. You are encouraged to periodically review this Policy to be informed of how the Association is protecting your information.
Types of Personal Information
“Personal Information” refers to any information that can identify an individual or information about an identifiable individual, such as an individual’s address, telephone number, or a member’s transaction activity in relation to the Association’s activities. When a member registers with the Association or registers for an event with the Association, we collect identifying information, including but not limited to, the member’s name, address, telephone number and email address. To process payment, a member may provide us with their credit card number and expiry date. When a member applies for membership, we are required to collect information such as the member’s date of birth, nationality and year of graduation from Henry Park Primary School.
The Policy applies to any Personal Information the Association collects, uses and discloses in order to carry out the Association’s activities and operations; and to enable you to access the Association’s website and online service portals.
Use of Personal Information
The Association may use the Personal Information we collect from you for any of the following purposes:
- creating and administering membership databases;
- organising activities so as to communicate information on the initiatives and events organized by the Association;
- internal reporting and/or accounting purposes;
- government, audit and other regulatory purposes; and
- any other purposes which we notify you at the time of obtaining your consent
(collectively, the “Purposes”).
In order to conduct our business operations more smoothly, we may also be disclosing the Personal Information you have provided to us to our third party service providers, agents and/or our affiliates or related corporations, and/or other third parties whether sited in Singapore or outside of Singapore, for one or more of the above-stated Purposes. Such third party service providers, agents and/or affiliates or related corporations and/or other third parties would be processing your personal data either on our behalf or otherwise, for one or more of the above-stated Purposes. By your submission of your Personal Information to us, you consent to the onward disclosure of your Personal Information to these agents or service providers and the processing of your Personal Information by these agents or service providers.
We may also contact you by any means of communication for which you have given us contact details, including but not limited to via email, telephone numbers, and post, for the purpose of getting your feedback or for providing you with information which we believe could be of interest to you.
Security of your Personal Information
The Association secures your Personal Information from unauthorised access, use or disclosure. The Association secures the Personal Information you provide on computer servers in a controlled, secure environment, protected from unauthorised access, use or disclosure. The Association will not share your Personal Information with third parties without your permission, except if required by law or a court order to do so.
Withdrawing consent
The collection and handling of certain Personal Information is necessary to maintain your membership and/or for processing transactions. You may, however, opt out of the collection and/or handling of your Personal Information for other purposes — including opting out of receiving marketing and promotional material from the Association. You can do so at any time by contacting us at contact@hppsalumni.sg. If you opt out as mentioned above, you will no longer receive any communications from the Association in relation to these marketing and promotional offers but you will continue to receive communications from the Association relating to your membership obligations and rights.
Access, accuracy and correction of your Personal Information
We rely on you to ensure that your profile and contact information is accurate. Please let us know of any changes to your Personal Information.
